QXP India – Cancellation & Refund Policy
At QXP India, we understand that travel plans can sometimes change unexpectedly. We aim to be as transparent and supportive as possible when it comes to cancellations and refunds, while balancing this with the commitments we make to our service providers on your behalf.
This policy outlines the cancellation timelines, applicable charges, and the process for refunds.
Standard Cancellation Policy
Once a booking is confirmed, the following cancellation schedule will apply:

75 days or more | Fully refundable deposit, minus any non-refundable services already paid for |
74 – 60 days | 50% of the total tour cost |
59 – 45 days | 75% of the total tour cost |
44 – 0 days | 100% of the total tour cost (no refund) |
- All cancellations must be communicated in writing via email to your assigned QXP travel consultant.
- The effective date of cancellation will be the date the written request is received.
Festive Season & Peak Period Policy
During festive seasons, peak travel periods, and blackout dates, certain properties and
experiences may enforce stricter cancellation terms, including 100% non-refundable deposits or earlier payment deadlines. These terms will be clearly communicated to you at the time of booking.
Deposit & Final Payment Policy
- A non-refundable deposit of USD 500 per person (or equivalent in INR) plus the full cost of applicable airfare is required to confirm booking.
- The balance payment is due 75 days prior to travel date.
- For bookings made within 75 days of date of travel, full payment is required at the time of confirmation.
Amendments or Changes
We are here to assist. However, amendments after confirmations are:
- subject to availability
- may incur additional charges
- changes requested after confirmation, may be treated as cancellations and rebooking, with applicable retention charges.
Refunds
- Refunds, if applicable, will be processed within 30 working days of cancellation notice, after deducting any bank charges, processing fees, and non-refundable components.
- Refunds will be made in the same currency and method as the original payment.
Non-Refundable Costs
The following are non-refundable under all circumstances:
- Game drives
- Visa processing fees (If any)
- Any services explicitly marked as non-refundable at the time of confirmation
Force Majeure
QXP India will not be liable for cancellations or changes caused by circumstances beyond our control, including but not limited to:
- Natural disasters
- Government restrictions
- Epidemics or pandemics
- Political unrest or strikes
- Transportation disruptions
In such cases, we will do our best to offer alternate arrangements.
